Trigger Action - Schedule Your Actions
Use this action to manage the timing of your business processes. For example, you can send email reminders at regular intervals, delay an action, or perform multiple actions at a time that you choose.
For example, suppose you have a business process where a manager has to review submissions assigned to them and change the status to "Reviewed". You would create a scheduled trigger action set to run in three days. Beneath this parent scheduled trigger action, you define the child actions that will run in three days. In this example, you need to send a reminder email to the manager if the status of the record has not been changed to "Reviewed" . You would define a child trigger action with a rule that checks if "Status does not equal "Reviewed" and is configured to send an email reminder to review. When the child trigger actions run in three days, that rule would first be checked, and if it evaluated to true, the reminder sent, otherwise, it would be ignored.
- On the Trigger Actions panel, click "Add New Trigger Action". Depending on your starting point, you may need to select a profile, click "Edit Trigger Profile", and then click the Actions tab.
- Click "Rescheduled Trigger Action Sequence" and click Next.
- Note the description of this trigger and click Next. The "Rescheduled Trigger Action Wizard" panel appears.
- In the Action Name field, enter a descriptive name for this action.
- Click Edit Rule and use the standard Logiforms Rule screen to select one or more fields and their settings that determine when this action will be run.
- Click Next. The Schedule Type panel displays.
- Choose one of the five Schedule Types (defined below) that meets your business requirements.
- Click Next. The Scheduled Settings panel appears.
- Depending on the schedule type you chose, you will need to enter dates, times, and possibly fields.
- Click Next. The Rescheduled Actions panel appears.
- Click Add New Trigger Action" and choose one of the ten trigger actions available to you.
- Set up the trigger. Click Finish. You are returned to the Rescheduled Actions panel.
- Click Finish. The Rescheduled Actions panel appears with the name of this action listed.
- Click Finish to return to the Trigger Actions panel or click "Add New Trigger Action" to add another action to this schedule.
- Click Finish to return to the Trigger Profiles panel or click "Add New Trigger Action" to add another action to this profile.
Five Schedule Types
Depending on which schedule you choose, you will need to enter details about when the action runs.
Static Date
Click the calendar icon to choose a date and click the Time field to choose a time from the dropdown list, in 15 minute increments.
Schedule to run in X days
Enter the number of days from the time this action is run to schedule this trigger action sequence. Click the Time field to choose a time from the dropdown list, in 15 minute increments.
Schedule to run in X minutes
To schedule an action to run a certain number of minutes after an update or insert, enter the number of minutes. Use a decimal number to specify part of a minute. For example: .5 = 30 seconds.
Schedule to run X days before (or after) the date value in field [myfield]
Enter the number of days before or after a date in your field when you want this action to run. The "days" field is for the number of days, the dropdown list is for selecting Before or After, the Date Field is the field in your form that contains the defining date, and the "at" field is for the time of day.
Schedule to run X days before (or after) the date value in field [myfield]
As above, but the number of days is defined by a field in your form. The first Date Field defines the number of days, the next dropdown list is for selecting Before or After, the second Date Field is the field in your form that contains the defining date, and the "at" field is for the time of day.
