Managing Form Submissions with the Database Browser
Data that is captured when your users submit a form is stored in a submission database. You can access and manage this data by using the database tools that we describe in this section.
The Database Browser is the primary tool for viewing and managing submission data that belongs with a particular form. If no DataViews have been set as the primary view for this form database, then the basic Default View is shown. The live scrolling feature of the database browser is capable of displaying hundreds of thousands of rows. So, unless a restrictive view is applied, all records will display. Use the vertical scroll bar along the right edge of the database browser window.
You can copy a field value, or view and edit an entire record to examine or edit details. You can hide or display any column, or apply a filter to a specific column. Neither of these view changes affect the underlying data, and you can return to the default or primary data view at any time. All view settings will persist after you logout, and you can reset the view to the default at any time.
Here is the basic procedure for using the database browser:
-
From the desktop, right-click the form and choose Database Tools > Database Browser/Submission Bin.
-
Notice the toolbars at the top and bottom of the screen. Those are menus and clickable buttons that help you manage your data.
-
In the top toolbar, click the Data Display Views menu to change the data view.
-
You can see that there are a number of data management tools available, including Export Data, Import Data, Transfer Records, Delete Records, Print Templates, Email Templates, and Data Labels.
-
Right-click on any record to view record details, delete the record, or copy a value from a particular cell in that record. You can also print a template or send an email template.
Also, from the menu items in the bottom toolbar:
-
You can Reset Filters and Reset Columns so they return to the default settings.
-
If you are using a data view configured for data grouping, another toolbar will appear at the bottom of the Database Browser, in which you can navigate through pages of data. The vertical scroll bar won't be available in this view.
-
The Refresh button will update the record listing to include the most recent data submissions. If the user submits a form while you are in the database browser, it might not be display immediately. Click the Refresh button to obtain the very latest data.
To Exit the Database Browser, click the small X button in the upper right corner of the window.
